Overview


What is a 1099?


Compensation of $600 USD or more within a calendar/tax year that is paid to United States (U.S.) non-employees must be reported to the Internal Revenue Service (IRS). The 1099 form is an income statement for this purpose.


Why did I receive an email notification about 1099 filing when I don't work in the United States?


It is important that we collect up-to-date Tax Information for every payment recipient for whom we will file a 1099 Form.


The notifications we send are based on the Tax Information in your Worksuite profileIf you received a notification encouraging you to review the Tax Information in your profile:


* You have completed the Tax Information form and indicated that your tax filing country is United States, OR

* You have not yet completed the Tax Information form


Completing the Tax Information form in Worksuite will both ensure you continue to be payable and avoid any further 1099-related notifications if your tax filing country is other than United States.

I've already completed my Tax Information. What's wrong with it?


To ensure we receive up-to-date tax information from each freelancer for whom a Form 1099 should be filed, we include in our email distribution each year those who have already completed their profile with tax filing country United States. This is a reminder to make sure your tax information is current and accurate.


November 27, 2023: If you previously completed your Tax Information with filing country United States, your form is no longer complete and must be resubmitted.


This year in particular, we have launched a new version of the Tax Information form with additional selections that more closely align with Form W-9. Additionally, you no longer need to complete a W-9 separately -- we generate it from the Tax Info form!


Note that, presuming you meet the income threshold, we will file a 1099 with your existing tax information, even if you don't submit an update in the enhanced version of the form by December 31, 2023. However, a complete Tax Information form is still required to remain payable by Worksuite.


Also note that your previously submitted tax information may appear to be removed but is still available upon entering the Tax Information form.

I am a U.S. citizen living abroad. Do I need to file taxes in the U.S.?


Yes, if you are a U.S. citizen or a resident alien living outside the U.S., your worldwide income is subject to U.S. income tax, regardless of where you live.


Beyond this statement (which is available with additional information on the IRS website), Worksuite is unable to offer tax guidance. Please consult with a tax professional regarding whether and how you will file.


Unless you are certain you will not file U.S. income tax, please ensure your Worksuite profile’s Tax Information is up to date.


I am a non-U.S. citizen receiving compensation from a U.S. company. Do I need to file taxes in the U.S.?


Non-U.S. citizens are not required to file taxes in the U.S. unless the work is performed in the U.S. That said, Worksuite is unable to offer specific tax guidance, and for any further questions, please consult with a local tax professional regarding whether and how you will file.


What type of 1099 filing do you submit?


We file Form 1099-NEC for all payments.


What are the stages of the process?


  • In mid-November, we request you to review and update the Tax Information in your Worksuite profile.


  • In mid-December, we send a final reminder.


  • No later than January 31, we complete the filings to the IRS in bulk, with a copy sent to the email address associated with your Worksuite profile.


  • Through April 15 (and likely beyond), we support you with any corrected filings that may be required.


Your Tax Information


Do I need to update my Tax Information in Worksuite if I already completed a W-9?


Yes! While the collection of the W-9 form is important for your client, Worksuite sources the 1099 filing information from data fields in your Tax Information rather than parsing the W-9 PDF documents.


Note that you may optionally use "Generate W-9" from your Tax Information to automatically store a W-9 form in the Documents tab of your profile.


How do I review/update my Tax Information?


Please log in to your Worksuite profile. From your avatar at lower left (either initials or profile photo), navigate to Settings and then Tax Information. A separate Help Center article with screenshots is here.


I had a change of tax entity this year. Will you file multiple 1099s?


Please submit a support request via our Help Center so we may take note of your tax entity change as a filing exception.

I have forgotten my Worksuite profile username and/or password. How do I log in?


If you no longer have your registration email, please click here to generate a secure login.

I've stopped working with the client. Will you still file a 1099 for me?


Yes, as long as the total income in Worksuite invoices exceeds the $600 USD filing threshold in a tax year, we will file a 1099 Form, even if you are no longer active on our platform.


Payments


Which payments are included in 1099 filings?


  • You have indicated in the Tax Information section of your Worksuite profile that you file taxes in the United States (residence may be abroad)

  • Invoices were processed on or before December 30, 2023, the final pay run batch of the tax year

  • The sum of the invoices processed in 2023 is $600 USD or more


I was paid less than $600 USD. Can I still receive a 1099?


Please contact your client for support as Worksuite only files for recipients who have been paid at least $600 USD.


Filing Process


When are 1099s filed?


No later than January 31 of each year for the previous tax year.


How are 1099s filed?


We e-file with the IRS through our third-party partner, Tax1099.com.


I received an email from Tax1099.com -- is this legitimate?


Yes, Tax1099.com is our 1099 filing partner.


How do I receive a copy?


Note that copies are not uploaded to your Worksuite profile.


At the time of filing, an email is sent from noreply@tax1099.com to the email address associated with your Worksuite profile.


The email solicits your consent for eDelivery of your 1099 copy, with instructions to access their platform to opt in or out. For login trouble, see the decryption information below under "I am not able to access the emailed copy" (prior years). 


In the absence of eDelivery consent, whether by opt out or non-response, 1099 copies will be mailed to the address in your Tax Information. Worksuite files no later than the deadline of January 31, though your copy may be received subsequently.


We also share all copies with your client.


I am not able to access Tax1099.com.

How do I request a correction for my 1099?


The first step is making sure you update your Tax Information to that which should reflect on your 2023 1099.


Then you can submit a support request for our team to assist you with a filing.


***If your Tax Identification Number and compensation total are accurate, a corrected 1099 is not required, i.e. the address is only used generally for postal delivery (we email copies to you).


I did not receive a copy of my 1099.


Please refer to your Worksuite profile and confirm:

  • Your invoices total $600 USD or more

  • The Tax Information section of your profile was completed by January 15, 2024

Please search your email client for email(s) from noreply@tax1099.com as we have found they can be filtered, archived, or trashed inadvertently.

If you meet the criteria and there are no emails in Spam, etc., please reach out to your client to request your filed copy.

If you completed your Tax Information after the filing deadline of January 31, 2024, and now need a 1099 to be filed for your income of $600 USD or more, please submit a support request via our Help Center, and we will be happy to assist.
