What Are Tasks and Projects?
A project is the big picture—the overall container for work a client needs done. A task is a single piece of work within that project. For example, a project might be "Website Redesign," and the tasks could be "Design Homepage," "Create Style Guide," and "Build Contact Form."
As a freelancer, you're connected to projects through tasks. Each task assigned to you includes everything you need to succeed: a clear description, deadline, budget, and the name of your task manager. You control the flow of each task from the moment it lands in your queue.
How to View Your Assigned Tasks
Finding your tasks is straightforward:
- Log into your Worksuite account.
- Navigate to the Tasks section from the main menu.
- You'll see all tasks assigned to you, organized by status (Pending, Accepted, Under Review, Completed, etc.).
- Click on any task card to view its full details: description, deadline, budget, custom fields, and communication thread.
Filter or sort your tasks by status, due date, or project name to focus on what matters most right now.
Accepting or Rejecting a Task
When a client creates a task and assigns it to you, it arrives in a Pending state. You have two options: accept it or reject it. Take time to review the details before you decide.
To Accept a Task:
- Open the task from your queue.
- Review the description, deadline, budget, and any attached files or requirements.
- Click the Accept button.
- The task status changes to Accepted, and the client is notified.
To Reject a Task:
- Open the pending task.
- Click the Reject button.
- Optionally, add a reason so the client understands why (e.g., "Timeline is too tight" or "Outside my skill set").
- The task status changes to Rejected, and the client can reassign it or revise it.
Pro tip: Rejecting a task is perfectly fine and part of the process. It's better to be honest upfront than to struggle or miss a deadline.Working on a Task
Once you've accepted a task, you're ready to work. Here's how to keep your task on track:
Communicate Within the Task
Each task has its own discussion thread. Use this space to ask clarifying questions, share progress updates, or flag blockers. Your task manager will see your messages right away, and you'll get faster, more relevant answers than if you email outside the platform.
Update Your Status
As you work, you can move your task to Under Review to signal that you're waiting for feedback or have a first draft ready. Click the status dropdown and select Under Review—your task manager will be notified.
Mark the Task as Completed
- When your work is done, open the task.
- Click Mark as Completed.
- Add any final notes or files if needed.
- The task moves to Under Review by the client, who will either approve it or request changes.
Note: The client has the final say on whether work is complete. Once they approve, the task moves to Completed and you can add invoices.Adding Invoices to a Task
You can add invoices to a task in several states: Pending, Accepted, Under Review, Completed, or Rejected. Most commonly, you'll invoice once the work is Completed and approved by the client.
To Add an Invoice:
- Open the task.
- Scroll to the Invoices section.
- Click Add Invoice.
- Enter the invoice amount, description, and any relevant details.
- Attach supporting documents if needed (receipts, timesheets, etc.).
- Click Submit.
- The client receives your invoice and processes payment according to your agreement.
Invoices tie directly to a task, so keep all work-related costs together in one place. This makes accounting and approvals seamless.Understanding Task Statuses
Here's what each status means and what you can do at each stage:

Troubleshooting Common Task Issues
I Don't See a Task I Was Assigned
Check your filters and status settings. Tasks can be filtered by status, project, or date. If you're looking for an older task, it may be archived. You can enable archived tasks in your view settings, or reach out to your task manager to unhide it.
I Accepted a Task but Now I Can't Complete It
Life happens. Open the task and communicate with your task manager right away through the discussion thread. Explain the issue and work together on next steps. You may be able to extend the deadline, reassign parts of the work, or discuss alternatives.
I Submitted My Work but Haven't Heard Back
After you mark a task as Completed, the client has a set timeframe to review and approve. If you haven't heard back and the deadline is approaching, send a friendly message in the task thread. A quick "Just checking in—let me know if you need any revisions" often gets a response.
My Invoice Isn't Showing Up
Invoices can only be added to tasks in specific statuses (Pending, Accepted, Under Review, Completed, or Rejected). If the button is grayed out, the task may not be in an eligible state. Also confirm the task is fully loaded and you're not seeing a cached version—refresh the page and try again.
I Have Questions About Payment Terms
Task budgets and payment terms are set by the client. If you have questions about how much you'll earn, payment timing, or what's included in the budget, check the task description and any custom fields first. Then message your task manager for clarity.
