Timesheets are how you log your work hours and get paid for your efforts on Worksuite. Whether you're tracking time in real-time or submitting hours at the end of the week, we've got you covered. This guide walks you through everything you need to know.

How Timesheets Work in Worksuite

When you work on a Worksuite task with an hourly rate, a timesheet might be automatically created for you. Your client uses timesheets to review and approve the hours you've worked before generating an invoice and payment. It's straightforward: track your time, submit it, wait for approval, and get paid.

Timesheets only appear for tasks that have an hourly rate set. If you don't see a timesheet for a task, check with your client to confirm the rate type. Note that not every client will use Timesheets. If you're not sure if you should have a timesheet or not reach out to Worksuite Support.

Types of Timesheets

Worksuite supports different timesheet formats depending on how your client prefers to track work. Here's what you might encounter:

  • Weekly — The most common format. You submit your total hours worked each day for a full week (7 days). Simple and straightforward.
  • Time Tracking — Track exact start and end times using Worksuite's live timer, or manually add entries when you're done. Perfect for precise time logging.
  • Extended — Customizable timesheets with columns for work hours, breaks, comments, or other details your client specifies. More detailed tracking.
  • Presets — Select fractional work units (half-day, quarter-day, full-day) instead of entering specific hours. Useful for flexible schedules.
Note: Your client decides which timesheet type to use. You'll see whichever format they've selected for your task.

How to Submit a Weekly Timesheet

Weekly timesheets are the most common format on Worksuite. Here's how to submit yours:

  1. Navigate to the Task where you're working and locate the Timesheet section.
  2. Enter the number of hours you worked each day of the week (the week structure will show either Sunday–Saturday or Monday–Sunday, depending on your client's settings).
  3. Review your entries to ensure they're accurate. You can edit any day before submission.
  4. Click the Submit button when you're ready. Your timesheet status will change to "Under Review."
  5. Your client will review and either approve or request changes. You'll receive a notification once they respond.
Can't see a timesheet? Make sure the task has an hourly rate. If it does and you still don't see it, contact your client to double-check the settings.

Using Time Tracking

If your task uses the Time Tracking timesheet type, you have two ways to log your hours: real-time tracking or manual entry.

Using the Live Timer

  1. Go to the Timesheet section in your task.
  2. Click the Start button to begin the live timer.
  3. The timer runs in the background—you can navigate away and continue working.
  4. When you're finished, return to the Timesheet and click Stop.
  5. The time entry is automatically recorded with the start and end times.

Adding Time Entries Manually

  1. Click Add Time Entry Manually in the Timesheet section.
  2. Enter the start time and end time for the work you completed.
  3. Optionally, add comments (e.g., "Completed logo design revisions").
  4. Click Save. The entry is recorded and automatically updates your timesheet.
Note: Time entries automatically populate your timesheet, but you still need to submit the timesheet for your client's approval. Both the live timer and manual entries appear as separate time records until submitted.

Understanding Timesheet Statuses

Your timesheet moves through different statuses as it's reviewed and processed. Here's what each one means:

  • Unsubmitted — You've entered hours but haven't submitted yet. You can still edit entries at this stage.
  • Under Review — You've submitted your timesheet and your client is reviewing it. Wait for their feedback.
  • Approved — Your client approved the timesheet. This is the green light for payment and invoice generation.
  • Rejected — Your client requested changes. Review their feedback, make adjustments, and resubmit.
If your timesheet is rejected, don't worry—you can edit it and resubmit. The status will go back to "Under Review" after you resubmit.

What Happens After Your Timesheet Is Approved

Once your client approves your timesheet, a few things happen automatically:

  1. Your timesheet status changes to Approved.
  2. Your client generates an invoice based on the approved hours and your hourly rate.
  3. Payment is processed according to your payment terms and the client's payment method.
  4. You'll receive a notification confirming approval and payment details.
Note: Approved timesheets can't be edited. If you notice an error after approval, contact your client to discuss options.

Troubleshooting: Common Timesheet Issues

I don't see a timesheet for my task

Timesheets only appear when a task has an hourly rate. Check with your client to confirm:

  • The task is set to hourly billing (not fixed-price)
  • The hourly rate has been entered

My client rejected my timesheet—what now?

Your timesheet goes back to "Under Review" status when rejected. Review your client's feedback, make the necessary corrections, and resubmit. Common reasons for rejection include:

  • Hours don't match the work discussed
  • Missing entries or unclear time ranges
  • Work that needs to be split across multiple tasks

I submitted my timesheet but it's still showing as "Unsubmitted"

Try refreshing your browser. If it still shows as unsubmitted, check that you clicked the Submit button and saw a confirmation message. If you're still unsure, reach out to our Support team for help.

Can I edit a submitted timesheet?

Once you submit a timesheet, you can't edit it unless your client rejects it and asks for changes. If you need to make adjustments to an approved timesheet, contact your client to discuss the best approach.

Time Tracking isn't recording my entries

Make sure you're clicking Stop to end your session. If entries are still missing, check that:

  • Your browser is fully updated
  • JavaScript is enabled
  • You have a stable internet connection
