Use this checklist to set up your Worksuite workspace in your first week. Work through it in order, because each step builds on the one before. By the end, you can invite talent, onboard them the same way every time, assign their work and pay them from one place.
Who can do this: Admins
Availability: Every account. Contracts, Marketplace, payment processing and the add-ons at the end depend on the features your workspace uses. If you don't see one, contact Worksuite Support to enable it.
Your workspace may use a different name for Partners, such as Freelancers or Talent. Labels like Tasks, Projects and Invoices can be renamed too.TABLE OF CONTENTS

Before you start
- Find your way around: the left menu holds the main sections, and Settings opens from the gear icon at the bottom of the left menu, next to your profile picture. See Sidebar Navigation and Worksuite Settings Overview.
- Have your logo, the details you want to collect from talent, and your agreements (for example, contractor agreements or NDAs) ready.
1. Set up your company and team
Your branding tells talent they're in the right place, and adding colleagues means approvals and payments don't wait on one person.
- Settings → Company profile: add your logo and choose your colors.
- Settings → Public portal: set up the public page prospective talent see.
- Settings → Team → Teammates: add your colleagues.
- Settings → Team → Roles and Permissions: decide what each person can see and do.
2. Choose what you collect about your talent
Decide which details your team needs on every profile, so you don't chase them later.
- Settings → Partners → Partner custom fields: add your own profile fields. See How to Add Partner Custom Fields to Talent Profiles.
- Settings → Partners → Partner default fields: choose which standard profile fields are mandatory.
- Settings → Partners → Custom rates: set up the rates you use. See Custom Rates.
3. Build an onboarding workflow
A workflow takes every new person through the same steps, such as signing agreements and sharing documents, before they start work.
- In the left menu, go to Workflows → Workflows.
- Click Create new workflow.
- Enter a Name for the workflow.
- Add the stages your talent complete, then click Save workflow.
See Creating Workflows for each stage type.
4. Add and invite your talent
In the left menu, go to Index → All Partners (your workspace may use different names for Index and Partners). Then choose how to bring people in:
- Add partner: add one person.
- Bulk add: import many people at once, if your workspace uses it. See Smart Bulk Import (All Modules).
- Get invite link: create a link people use to join and start a workflow.
See Adding & Inviting Talent to Worksuite.
5. Set up Contracts
If your workspace uses Contracts, set up the pieces each Contract uses:
- Settings → Templates → Agreement: create your agreement templates.
- Contracts → Contract workflows (under Templates): build the workflows that run on each Contract. See How to Create a Contract Workflow.
- Contracts → Contract templates (under Templates): bring fields, agreements and workflows together. See How to Create and Manage Contract Templates.
Moving over from job openings? See How to Move from Job Openings to Contracts.
6. Organize work in Tasks & Projects
Projects group related tasks, and each task holds the work you assign to one person. Go to Tasks & Projects → Projects to create your first project. See Tasks and Projects Overview and Add New Projects & Tasks.
7. Set up invoices and payments
- Settings → Invoices → Invoice template: choose what's required on invoices, such as attachments or a linked task.
- Settings → Invoices → Invoice forwarding: send approved invoices to other email addresses, such as your accounts payable team. See How to Set Up Invoice Forwarding.
- Invoices → All Invoices: review and approve the invoices your talent submit.
You can pay talent yourself, or have Worksuite Global Pay pay them on your behalf across countries and currencies. To set up payment processing, contact your Business Solution Architect or Worksuite Support.
8. Post job openings
If your workspace uses Marketplace, you can publish job openings, review candidates and onboard the people you choose. See Marketplace & Opportunities (Job Openings) - Overview and Creating an Opportunity (Job Opening).
Add-ons
Worksuite also offers these services. Contact your Business Solution Architect or Worksuite Support to add them:
- Compliance services, such as worker classification and Agent of Record (AOR).
- Insights: reporting and analytics dashboards in the left menu.
- Integrations: the Worksuite API, NetSuite and QuickBooks.
You don't need to add Zapier: anyone on your team with a Worksuite login and a Zapier account can connect it. See Connect Worksuite to Other Apps with Zapier.
